Privacy Policy

AuctionQR is operated from Singapore. This policy explains what information we use to run live auctions, who sees it, and how to contact us about it.
1. Information we collect
- Organisers: auction name, organiser name and email address, auction settings, lot titles, descriptions and photos, bids and results, and access credentials.
- Bidders: email address, chosen nickname or bidder number, verification status, bids, wins and other auction activity.
- Technical information: session cookies and similar access tokens, IP address, browser and device information, and server logs needed for security, troubleshooting and operation. Google Analytics also receives page visits and related browser information.
- Messages: information you send to us when you contact support.
We do not ask for payment card details and do not process payments between bidders and organisers. Please do not put sensitive personal information in lot descriptions, photos, nicknames, or support messages.
2. Why we use it
We use this information to verify email addresses; create and run auctions; display lots, bids, countdowns and results; give organisers access to their dashboards; send access and results emails; protect against misuse; maintain backups; respond to support requests; and meet applicable legal obligations. We use Google Analytics to understand visits to the site and improve it. We do not sell personal data or use auction information for targeted advertising.
3. Who can see it
The organiser can see the verified bidders' email addresses and auction activity, including bids and results. Other bidders and people viewing the audience screen may see a bidder's nickname or bidder number, depending on the organiser's setting, along with bids and public results. They do not receive other bidders' email addresses from AuctionQR. Bidders' results emails include the organiser's name and email address so they can arrange payment or collection directly.
Lot descriptions and photos are intended to be shown to auction participants and on the audience screen. A person with a shared auction or photo link may also be able to view that content. Organisers should upload only information suitable for that audience.
We use service providers to operate AuctionQR, including Oracle Cloud for hosting and backups, Brevo for transactional email, Hostinger for support correspondence, and Google for site analytics. They process information needed for those services. We may also disclose information when required by law, to protect the service or users, or in connection with a legitimate business transfer, subject to applicable safeguards.
4. Cookies and access links
AuctionQR uses essential cookies to keep organisers and verified bidders signed in and to manage the email verification process. We also use Google Analytics, which may set first-party cookies to distinguish visitors and sessions and receives technical information such as your IP address and browser details. The analytics script loads automatically after the page has loaded. We do not use Google Analytics advertising features. You can read how Google uses information from sites that use its services.
Our analytics page views use general categories such as home, organiser dashboard, bidder page, and audience screen instead of auction-specific URLs. We do not add auction codes, private access links, email addresses, lot details, or bids to the analytics events we send. Private access and recovery links are not measured until the browser reaches a clean page. Organiser emails may contain a private dashboard link. Anyone who has that link may gain access to the organiser dashboard, so it should not be forwarded. Sessions normally last up to 30 days; a private organiser email link may remain usable until the auction is deleted.
5. Storage, transfers, and security
We host the auction application and its main database in Singapore. Email delivery, support correspondence, Google Analytics, and other service-provider systems may involve processing in other countries. We are responsible for ensuring overseas transfers meet applicable legal requirements.
We use access controls, encrypted connections, and backups to protect information. No online service can guarantee absolute security. Please protect your email account, verification codes, and private links, and contact us if you suspect unauthorised access.
6. How long we keep information
Auction data, including bidder details, bids, lots and results, remains available after an auction ends so the organiser and bidders can review the outcome. There is currently no automatic deletion date for an ended auction. The organiser can permanently delete an ended auction from the dashboard. That removes its active auction records and uploaded photos; copies may remain for a time in backups and email already delivered to recipients cannot be recalled.
Verification and access records connected to an auction may also remain until that auction is deleted. We may retain security logs, backups, and support correspondence for operational, legal, or legitimate business needs. If you want information corrected or removed, contact us as described below; some records may need to be retained where the law allows or requires it.
7. Your choices and requests
You can ask us about personal data we hold about you, request access or correction, or raise a privacy concern by emailing contact@auctionqr.com. You may also ask us to stop a use of your data or consider deletion, subject to applicable law and the need to maintain an accurate auction record. We may need to verify your identity before acting. Organisers who receive bidder contact details are separately responsible for their own use of those details.
8. Children and changes
AuctionQR is intended for adults who are legally able to participate in auctions. If you believe a child has provided personal data, contact us. We may update this policy as the service changes. We will update the date above and give further notice where required.
